1. About this Cookie Policy
This Cookie Policy explains how TruWord, trading through TruWord (“TruWord”, “we”, “us” or “our”), uses cookies and similar storage or access technologies on https://truword.co.uk, in the TruWord web application and on public TruWord Business Profiles, review/referral pages and booking pages.
In this policy, “cookies” is used as a convenient general term, but the same principles can apply to other technologies that store information on, or access information from, your browser or device, including local storage, session storage, scripts, tags, tracking pixels and similar technologies. These technologies are regulated in the United Kingdom by the Privacy and Electronic Communications Regulations and, where personal data is involved, by UK data protection law.
2. What cookies do
Cookies are small pieces of information stored by your browser. They can help a website keep you signed in, remember a preference, protect a form, recognise that the same browser has returned, attribute a referral, measure how a service is being used or, where you have agreed, measure advertising and marketing activity.
Some cookies and storage technologies are essential to provide a service you have requested or to keep it secure. Others may be used under a legal exception for limited statistical or appearance-related purposes, subject to the conditions required by law. Technologies used for advertising, marketing measurement or other non-exempt purposes are not activated unless the required consent has been given.
3. Essential authentication and security cookies
TruWord uses a secure session cookie named rrbg_session to maintain authenticated sessions and core account state. The platform is configured for long-lived business sessions and the cookie may remain valid for up to approximately 10 years unless you sign out, clear browser data, the session is invalidated or we change the session policy. It is marked HttpOnly and, when the site is served over HTTPS, Secure, with SameSite=Lax.
If persistent login is enabled, TruWord may use rrbg_remember to recognise a returning authorised user without requiring a fresh login on every visit. This may remain for up to approximately 10 years unless you sign out, revoke the login, clear cookies or the token is invalidated. The browser cookie contains a token rather than your password.
These authentication technologies are used to provide the signed-in service, maintain security and prevent repeated authentication prompts. They are treated as essential to the account functionality requested by the user.
4. Theme and appearance preferences
TruWord can remember whether you prefer light or dark mode. Depending on which part of the service you use, this may involve cookies such as public-ui-theme or other interface-theme cookies, as well as browser local storage. Theme choices may be retained for up to approximately one year or until you change the preference or clear browser storage.
These technologies exist only to remember how you asked the service to appear or behave. Where the applicable legal appearance exception is relied upon, we provide information about the technology and a means of changing the preference through the interface or your browser.
5. Cookie-choice storage
When you choose whether to allow optional marketing cookies, TruWord stores that choice in rr_marketing_consent. This normally lasts for up to one year. Its purpose is to remember the choice you made so that we do not ask you on every page or load optional marketing technology contrary to that choice.
You can change your choice by using the cookie controls made available by TruWord or by clearing the relevant browser cookies and making a new choice when the banner is shown again.
6. Public page analytics
Public TruWord Business Profiles and related pages may use a first-party visitor identifier such as rrbg_visitor to help create service analytics about page use. This identifier may remain for up to approximately 180 days. TruWord uses pseudonymous or hashed identifiers in analytics records rather than needing a visitor’s name simply to count page activity.
Where analytics qualifies for the statistical-purpose exception under current UK rules, we may use limited storage or access technology without consent only for the purpose of producing statistical information about use of the service with a view to improving it, and only where the other conditions of that exception are met, including providing clear information and a simple way to object. If analytics is used for another purpose, such as advertising attribution, individual tracking or profiling, consent is obtained where required.
7. Customer referral attribution cookies
When somebody follows a customer referral link to a TruWord business, a first-party referral-attribution cookie may be stored. Its name is generated for the relevant business and normally begins rr_ref_. It allows TruWord to connect a later enquiry with the customer who originally shared the business.
The cookie lasts for the attribution period set by the business’s referral programme, commonly up to 180 days. The identifier is encrypted or otherwise protected and is used for referral attribution rather than general advertising. The relevant business decides the referral programme and is responsible for explaining its use of referral tracking to its customers where required.
8. TruWord business referral cookies
If an existing TruWord customer recommends TruWord to another business using the platform referral programme, TruWord may use first-party cookies such as rr_platform_ref and rr_platform_ref_v to remember which business made the introduction and which referral-programme version applies. These may normally remain for the configured programme attribution period, commonly up to approximately 90 days.
TruWord may also use a pseudonymous first-party visitor identifier such as rr_visitor, which may last for up to approximately one year, to support referral attribution, fraud prevention and programme administration. We use these identifiers to operate the referral programme and to determine whether a new subscribing business is attributable to an existing customer.
9. Optional marketing measurement
TruWord can use optional marketing measurement, including Meta Pixel and related conversion-measurement technology, when it is enabled by the platform administrator. Browser-based marketing tracking is not loaded until you have chosen to allow optional marketing cookies.
If you allow this category, the technology may process information about your browser or device, pages viewed, actions such as starting checkout or completing a purchase, and identifiers used to measure advertising performance. Some measurement may also be sent server-side where appropriate, but we only use consent-dependent browser identifiers for that purpose in accordance with the choice recorded for the visitor.
Marketing measurement is used to understand whether our advertising is effective, not to provide a feature you have asked us to deliver. You can choose essential cookies only and continue to use the public site.
10. Payment-related technologies
Where card payment is available and you choose to use it, our payment provider may use its own strictly necessary cookies or similar technologies to provide secure payment fields, prevent fraud, authenticate transactions and process the payment you requested. These technologies are controlled by the payment provider and may be subject to its own privacy and cookie information.
TruWord does not use payment-provider cookies to show you unrelated advertising.
11. Progressive Web App and browser storage
TruWord can be installed or used as a Progressive Web App. The application may use browser storage, service-worker caches, local storage or session storage to support installation prompts, app lifecycle behaviour, interface preferences, temporary application state and faster loading.
Some of this storage is necessary for functionality you request or is used only to remember an appearance or interface preference. Temporary cached files can normally be removed by clearing the site data for TruWord in your browser or device settings or by uninstalling the web app.
12. How long cookies last
A cookie may be a session cookie, which expires when the session ends, or a persistent cookie, which remains until its expiry date or until you remove it. The main TruWord cookies described above currently use periods ranging from the current session to approximately 10 years for long-lived authenticated business sessions. Referral and analytics identifiers generally use much shorter periods, commonly between 90 and 180 days, while marketing-consent and theme preferences commonly last for around one year.
We may change cookie names or durations when the platform is updated, for example to improve security or replace a technical component. We will keep this policy under review and describe any materially different purpose before using a technology for that purpose.
13. Your choices
You can choose whether to allow optional marketing cookies through the TruWord cookie banner. Choosing essential cookies only will not stop you from using the main public website or the core signed-in service, although optional marketing measurement will not operate.
You can also remove cookies through your browser settings. Blocking all cookies may prevent sign-in, referral attribution, saved preferences, checkout or other parts of TruWord from working correctly. If you block a technology that is required to provide a feature you have asked to use, that feature may not be available.
Where we rely on a statutory exception that requires a simple means of objecting, we will provide or honour an appropriate objection mechanism. Browser or device controls may also allow you to clear stored data or restrict particular forms of storage.
14. Third-party websites
TruWord pages can contain links to third-party websites, including review sites, business websites, social networks and calendar services. When you follow a link to another website, that organisation may set its own cookies or use other tracking technologies. TruWord does not control cookies set after you leave our service, and you should read the relevant third party’s information if you want to understand its practices.
15. Changes to this Cookie Policy
We may update this Cookie Policy when the law, ICO guidance, browser technology or the TruWord service changes. The latest version will be published on https://truword.co.uk and the page will show when it was last updated.
